Terms of Service

1. About these terms

These terms govern your use of Club Portal (“Club Portal”, “we”, “us”, “our”), an online platform that helps amateur and grassroots football clubs manage availability, selection, match-day administration, membership, and payments. By creating an account or using the platform, you agree to these terms. If you do not agree, do not use the service. Club Portal is operated from the United Kingdom.

2. Who uses Club Portal

Club Portal serves two kinds of user: clubs (and their authorised staff), who use the platform to run their teams and collect payments; and players and members, who use it to manage their availability, profile, and payments to their club. Some terms below apply specifically to one or the other.

3. Accounts and eligibility

  • You must provide accurate details and keep them up to date, including details used for league or FA registration.
  • You are responsible for keeping your login secure and for activity under your account.
  • If you are under 18, you may only use the platform with the involvement and consent of a parent or guardian, arranged through your club.
  • Club staff granted administrative roles are responsible for using them appropriately and only for legitimate club administration.

4. Payments and fees

Payments made through Club Portal — such as match fees, memberships, and passes — are processed by Stripe and paid to your club. Your club sets its own prices, membership terms, and refund policy. Club Portal facilitates these payments and may charge the club a platform or processing fee, but the underlying relationship for goods and services (playing football, membership benefits) is between you and your club.

Refunds and disputes about fees or membership should be raised with your club in the first instance. Where Club Portal charges a club for use of the platform, those charges are governed by the agreement between Club Portal and that club.

5. Acceptable use

You agree not to:

  • Use the platform unlawfully, or to harass, abuse, or harm others.
  • Access data or accounts you are not authorised to access.
  • Attempt to disrupt, probe, or reverse-engineer the service, or bypass its security.
  • Upload content that is unlawful, offensive, or infringes others' rights.
  • Use another person's details without authority, or misrepresent your identity.

6. Club responsibilities

Clubs are responsible for the accuracy and lawful use of the data they collect about their members, for obtaining any necessary consents (including for members under 18), for their own pricing and refund practices, and for complying with the rules of their leagues and governing bodies. Clubs act as the data controller of their members' information; see our Privacy Policy.

7. Availability of the service

We work to keep Club Portal available and reliable, but we provide the service “as is” and cannot guarantee it will always be uninterrupted or error-free. We may update, change, or suspend features to maintain and improve the platform.

8. Intellectual property

Club Portal, its software, and its branding belong to us and our licensors. Content you or your club add (such as club pages and imagery) remains yours; by adding it you grant us the permission needed to host and display it as part of running the service.

9. Limitation of liability

To the extent permitted by law, Club Portal is not liable for indirect or consequential loss, or for loss arising from your or your club's use of (or inability to use) the service. Nothing in these terms excludes liability that cannot be excluded by law. This does not affect your statutory rights as a consumer.

10. Suspension and termination

You may stop using the platform at any time. We may suspend or close an account that breaches these terms or is used unlawfully. If your club leaves Club Portal, access to the club's data on the platform may end in line with our agreement with that club.

11. Changes to these terms

We may update these terms from time to time. When we do, we will change the “last updated” date above. Continuing to use the platform after a change means you accept the updated terms.

12. Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have jurisdiction, without affecting any mandatory consumer-protection rights you have where you live.
